Session scheduling
Finding a night five adults can all make is the hardest problem in tabletop roleplaying. Scheduling lives inside the campaign, so the answer arrives where the game is rather than in a group chat nobody reads.
Two ways to ask, depending on how much you already know.
Grid — let players tell me their availability
Pick a date window and let each player mark when they're free. Skryrún aggregates the responses and ranks the slots that work for the most people.
- Open Scheduling in the campaign and create a schedule.
- Choose Grid.
- Set the window — This weekend, Next 2 weeks, Next month, or your own dates.
- Set a minimum block (how long a session needs to be) and minimum players (how many make it worth running).
- Optionally skip weekdays.
- Send it.
Players fill in their availability in their own timezone. The aggregate view shows submissions as they arrive, with the top match at the front — the slot that clears your minimum block and minimum players with the most of the table free.
Poll — I'll suggest a few times
When you already know the two or three nights that could work, don't build a grid. Offer between two and five specific times and let players vote for every one that works for them.
Quick Suggest proposes a set of times in one click, so a poll is a few seconds of work rather than a form.
Poll mode is available when creating a proposal, not when editing one.
Locking a session in
When a winner is clear, lock it. Locking:
- sets the campaign's next session date
- creates the linked session, ready to prep
- notifies the table by email and in-app
- adds the meeting place or online link to the locked schedule and calendar export
You can also set a time manually and override the poll's pick — the vote is advice, and you're still the one who runs the game.
If plans change after locking, choose Unlock schedule. The existing availability or poll votes and your session prep stay in place while you choose another time. Current RSVPs are cleared so everyone can confirm the replacement date.
Set minimum players honestly. A four-of-five slot you'd actually run beats a five-of-five slot three weeks out, and the ranking can only help you if it knows your real threshold.
Timezones and RSVPs
Every player answers in their own timezone; the aggregate resolves them against each other. Once a session is locked, the RSVP list shows who has confirmed for the actual date. As the session approaches, everyone receives an in-app reminder to review the time and meeting details.
For players
Your GM's request arrives as a notification and in your campaign portal. Fill in the grid, or vote on the offered times — the times shown are already in your timezone. See Your character portal.
Troubleshooting
No slots are suggested. Your minimum block or minimum players is stricter than the responses allow. Lower one, or widen the window.
A player's availability doesn't appear. They haven't submitted yet. The aggregate view lists submissions received — chase the gaps rather than assuming a slot is dead.
I locked the wrong time. Choose Unlock schedule, then select a new candidate or set a time manually. Your players' original availability or poll votes remain available while you reconsider the date.
Poll mode isn't offered. You're editing an existing proposal. Poll mode is only available when creating a new one.
